Job Description

The Office Assistant provides administrative support as well as general office duties for Tri-Mack. This includes greeting visitors, answering phones, filing, sorting mail and other clerical duties to effectively support the department. In addition, this position will assist the Accounts Payable Clerk in both A/P and A/R as requested. Finally, the Office Assistant will assist the Controller and the Accounts Payable Clerk with any other front office duties as needed.
 
Responsibilities & Accountabilities:
 
• Greet all incoming customers, vendors, auditors, etc. and sign in appropriately. This includes guest book sign-in, badging, NDA completion and filing, directing to the appropriate destination, etc.
• Primary person to receive and direct all incoming phone calls.
• Set-up conference rooms for customers, vendors, auditors, etc. meetings. This includes providing coffee, lunch menus, ordering food, and cleaning up.
• Assist the Accounts Payable Clerk by matching invoices with packing lists, entering A/P information directly into Visual, reconciling any A/P issues and filing. In addition, the invoices must be reviewed to ensure pricing, quantities and the POs are correct for each order. File the monthly A/P in the appropriate folder.
• Assist the Accounts Payable Clerk by scanning and reviewing the previous day’s Accounts Receivables and make adjustments as necessary.
• Open all mail daily and scan for checks. Prepare the necessary paperwork for the daily cash deposits as requested. Put other mail in the correct mailboxes.
• File any other paperwork as required by the department. • Order office supplies and maintain inventory as needed. • Ensure the front office is neat, clean and customer ready at all times. Maintain a safe work environment.
• Adhere to all AS9100 requirements
• All other duties as assigned.
 
 
 

Skills & Experience

Education, Skills & Experience:
 
• High School diploma and some college work is preferred.
• Minimum of 2 years Accounts Payable experience is required.
• Strong computer skills including Microsoft office (Excel and Word)
• Good administration skills, including written and oral skills
• Knowledge of Visual Manufacturing is preferred.
• Manage priorities as well as understand the demands of others.
• Maintain a calm, respectful and professional manner at all times.
• Excellent customer service skills.
• Ability to show up to work on time each day and consistently work a 40 hour work week.
• Must be able to work independently as well as get along with others.
